Information we collect
We collect information in three ways:
- Information you give us, when you fill out a form, book a stay, chat with our property assistant, or contact us directly.
- Information collected automatically when you browse our site, such as the pages you visit and the type of device you use. See “Analytics” and “Cookies” below.
- Information from partners, such as when an insurance partner confirms a referral. See “Links to partners” below.
If you contact us directly, we may receive your name, email address, phone number, the contents of your message and any attachments, and any other information you choose to provide.
Income estimate and contact forms
When you request a free rental income estimate or contact us through a form on our site, we collect the details you enter. This may include your name, email address, phone number, your property’s address and basic details about it (such as bedrooms, bathrooms and property type), and any note you add. We may also use your address to look up its location on a map. Form submissions are sent to our team by email and stored in our website’s database.
We use this information to prepare your estimate, to reply to you, and to tell you about our property management services. We don’t sell this information, and we don’t share it with insurance or other referral partners.
Booking a stay
Our property pages use OwnerRez, our reservation system, to show availability and take bookings. When you request or book a stay, OwnerRez collects your name, email address, phone number, travel dates, number of guests and payment details on our behalf. Payment card details are handled by OwnerRez and its payment processors; The Brighthouse does not store your full card number.
We use booking information to manage your reservation, communicate with you before and during your stay, provide access to the property, handle security deposits and damage claims, meet tax and legal obligations, and keep business records. If you book directly with us, the terms of your stay are set out in the rental agreement you sign. If you book through a platform such as Airbnb, Vrbo or Booking.com, that platform shares your booking details with us so we can host your stay, and its own privacy policy also applies. We may ask platform guests to sign our rental agreement too. OwnerRez’s handling of this information is also described in OwnerRez’s privacy policy.
Property chat assistant
Most of our property pages include a chat assistant that answers questions about the home. It is provided by HostBuddy AI. When you use it, the messages you type are processed by HostBuddy and by AI service providers it works with, such as OpenAI and Anthropic, to generate replies. Our team may also see these conversations.
Please don’t share payment card numbers or other sensitive personal information in the chat. HostBuddy’s handling of chat data is described in HostBuddy’s privacy policy.
How we use your information
We use the information we collect in various ways, including to:
- Provide, operate, and maintain our website
- Improve, personalize, and expand our website
- Understand and analyze how you use our website
- Develop new products, services, features, and functionality
- Communicate with you, either directly or through one of our partners, including for customer service, to provide you with updates and other information relating to the website and for marketing and promotional purposes
- Send you emails
- Find and prevent fraud
We don’t sell your personal information.
Analytics
We use Google Analytics to understand how visitors use our site. It records information such as the pages you visit, how far you scroll, links you click, forms you submit, your browser and device type, and your approximate location (city or region, based on your IP address). We use this to see which pages are helpful and to improve the site. Google processes this information under its own privacy policy. You can opt out of Google Analytics on all websites by installing Google’s opt-out browser add-on.
Log files
Like most websites, our hosting provider automatically keeps server log files. These record information such as your IP address, browser type, the date and time of your visit, and the pages you requested. We use them to keep the site secure and running, and to fix problems.
Cookies
Cookies are small files stored in your browser. Our site uses cookies for analytics (Google Analytics), for the booking system (OwnerRez), and for the chat assistant. We don’t use advertising cookies. You can block or delete cookies through your browser settings, though some features, such as booking, may not work properly without them.
Other services that load on our pages
To display our pages, your browser also connects to a few outside services, including Google Fonts (for our typefaces), Google Maps (for property maps) and Cloudflare (for website code libraries). These services receive your IP address and basic browser information when they deliver their content.
How long we keep information
We keep your information for as long as we need it to respond to you, provide our services, and meet our legal, licensing, tax and accounting record-keeping obligations. If you ask us to delete your information, we’ll do so, except for records we’re required to keep.
Links to partners
Some pages on our site link to partners whose services our owners often ask about, such as Steadily for rental property insurance. We may earn a referral fee when you request a service from a partner. When you follow one of these links, or enter your property address to start a quote, you go to the partner’s own website. We don’t keep the information you enter there, and the partner’s own privacy policy applies to it. When you request a quote through a partner, the partner may share your name and email with us so we can confirm the referral. We use it only for that and to follow up about our own services.
Third-party privacy policies
This Privacy Policy doesn’t apply to other companies’ websites or services, including the partners and service providers named above. Please review their privacy policies for how they handle your information.
Children’s Information
Another part of our priority is adding protection for children while using the internet. We encourage parents and guardians to observe, participate in, and/or monitor and guide their online activity.
The Brighthouse does not knowingly collect any Personal Identifiable Information from children under the age of 13. If you think your child provided this kind of information on our website, please contact us right away and we’ll do our best to remove it from our records.
